RECORDS MANAGEMENT COORDINATOR

 (Full-Time, Temporary – Up to one year)

POSITION SUMMARY:

This CUPE 841 position, under the general supervision of the City Clerk, the Records Management Coordinator is responsible for the development, implementation, promotion, and maintenance of a comprehensive corporate records and information management program (RIM).



MAJOR TASKS:


Assists in the RIM program customization, implementation and deployment of all records and information management program components including a records classification structure, revised records retention schedule and deployment of RIM software.


Participates in deployment of the software for the City's electronic records and information management and preservation program, including assisting with the audit of the Corporate electronic recordkeeping and information management systems.


Coordinates and provides RIM program promotion, outreach, training and reference and information advisory services to City departments.


Provides RIM program maintenance and administrative tasks, including program compliance auditing for the implemented RIM Program.


Facilitates municipal wide consistency in City Departments, classifying, coding, cross-referencing, logging and storing records of all media types, including archival records according to the City's Records Retention Policy and records and information management system.


Completes special information and records management projects, as required.


Maintains security and confidentiality of all records and documents.


Performs other such related duties as may be assigned.
 

This position must take responsibility for personal health and safety insofar as he or she is able under the Occupational Health and Safety Act and its Regulations. A worker must:


• Work in compliance with the provisions of the Act, the regulations and City policies.  

• Must use or wear the equipment, protective devices or clothing that the City requires to be used or worn

• Report to his or her supervisor the absence of or defect in any equipment or protective device of which the worker is aware and which may endanger himself, herself or another worker

• Report to his or her supervisor any contravention of the Act, the regulations or the existence of any hazard of which he or she knows.


This position shall not:

• Remove or make ineffective any protective device required by regulations or by the City, without providing an adequate temporary protective device and when the need for removing or making ineffective the protective device has ceased, the protective device shall be replaced immediately

Use or operate any equipment, machine, device or thing or work in a manner that may endanger himself, herself or any other worker 

• Engage in any prank, contest, feat of strength, unnecessary running or rough and boisterous conduct.



QUALIFICATIONS: 

Two (2) year post-secondary education in a related field plus three (3) years related experience in Records Management including implementing and managing a records management program or an equivalent combination of education, training and experience. A certificate in Records and Information Management is considered an asset.  Experience in the deployment and administering of RIM software would be considered assets.  Working knowledge of municipal records and information management practices, systems, and legislation including assessment, classification and inventorying of physical and electronic records.  Proficiency in various office computer applications and working knowledge of archival and records management database software.  Excellent interpersonal and customer service skills.  Excellent facilitation and interpersonal skills in order to achieve collaboration, support and cooperation on projects and assignments with all departments in the corporation.  Strong organization skills and keen attention to detail.


Due to the nature of the position, must demonstrate high degree of professionalism, integrity, tact and discretion in handling confidential matters.


CONDITIONS OF EMPLOYMENT: 

May be required to work beyond the normal hours of work. Must sign confidentiality agreement with the City.


Remuneration Range:  $29.07 - $36.32 per hour working 35 hours per week.  Contract Benefits are provided after six (6) months of temporary employment.
