The primary role of the Intake Officer is to provide prompt intake processing of first-time online, in person, as well as drop-in clients through effective management of all aspects of the intake and departmental referral process and systems. In this role the incumbent will also perform general reception duties.


This is a temporary contract (5 months) with the possibility of extension. The role is expected to work 37.5 hours per week from Monday to Friday.



  • Administer the initial client screening and disposition process using set criteria and a
    standardized screening checklist.

  • Determine eligibility for priority processing and streamline clients accordingly to ensure timely access.

  • Respond to routine inquiries from clients such as those related to Needs Assessments, Language Assessments, and other programs.

  • Assist in the provision of orientation for clients awaiting assessments, as well as information and referral for clients needing settlement and other support services.

  • Screen drop-in clients who may be provided with immediate information and referrals to appropriate programs

  • Assist with general duties and responsibilities necessary for the smooth operation of the Client Care Centre, including administrative and support duties and assisting other staff in their duties when required.

  • Maintain appropriate documentation necessary to ensure smooth client flow and processing of client records.

  • Perform general reception duties including answering phone calls, responding to emails, transferring
    calls, booking appointments, and greeting clients


  • Training or diploma in Education, Social Sciences or related areas an asset

  • Excellent communication, interpersonal and organizational skills

  • Excellent computer knowledge

  • Familiarity with programs and community resources

  • Ability to work in a team setting

  • Excellent work ethics

  • Cross-cultural sensitivity

  • Availability to work one evening per week

  • Ability to speak two or more languages an asset

  • Experience using Salesforce an asset

  • Ability to work from home
