Position Summary 

Under the general direction of the Registrar and as an integral part of the Academic Advising and Registrarial management team, the incumbent is responsible for providing strategic direction, leadership and coaching to a team of advising and learning support teams. They are responsible for providing excellent one-on-one student academic advising as well as managing all academic advising services and directing Victoria College student academic success programs including the writing centre, learning strategists, tutoring, first year learning communities, and peer tutoring programs to provide holistic, seamless and personalized support to facilitate student academic success.  
  • Develops and implements academic support programs and works in collaboration with the Office of Dean of Studies to create supports to  to fulfil the Presidential priorities relating to readying students to flourish beyond university, inclusive excellence for distinct student populations including those from international and first generation groups.
  • Interviews, hires, trains and supervises, directs and evaluates the work of three full-time Academic Advisors/Assistant Registrars and three Writing CUPE Writing instructors, peer tutors and other student employees. Maintains Registrar’s Office employee files, performance management, attendance records and employee vacation timetables; maintains staff job descriptions. 
  • On-site supervision of the embedded staff from UofT Student Life offices including full time On-Site Accessibility Advisor and On-Site Learning Strategist.
  • Develops and monitors budget for writing instructors, tutors and learning strategist.  Identify needs, opportunities and potential sources of funding.  Responsible for annual reporting.
  • Works with the Registrar to provide leadership and senior level support. Represents Victoria University at various faculty and student Committees, and at the University of Toronto.

Qualifications Required
Undergraduate and graduate degree required (or equivalent combination of education and experience). 

5 years of progressive experience in one or more of the areas of academic advising, registrarial services, learning support, career education, and/or student life.  
Strong organizational management abilities.  
Experience supporting students to facilitate academic success and dealing with students with complex needs.  
Knowledge of academic advising best practices. Understanding of Arts and Science rules and regulations. 
Efficient and sophisticated data collection, management and experience with data analysis.  
Experience running peer programming. Demonstrated experience collaborating with other offices. 
Demonstrated skills and experience managing and leading staff, including the supervision of full time appointed staff, preferably in a unionized environment.

High level of proficiency with various software packages (i.e. Microsoft Word, Excel, PowerPoint).  Familiarity with ROSI or other the Student Record Systems.
Extensive knowledge of university policies, procedures and services available for students. 
Ability to work in a very busy student services environment while managing a set of competing priorities while still being able to provide a high level of service; diplomacy and tact; ability to work to deadlines under pressure; use initiative; flexibility; attention to detail and accuracy; ability to assimilate new information quickly; analytical ability.
Ability to train and manage staff. 
Excellent interpersonal, presentation, written and oral communication skills. Demonstrated commitment to equity. Superior planning and organizational ability. 
Problem-solving and facilitation skills; excellent organizational and diagnostic/analytical skills.  Creativity, initiative, team leadership and supervisory skills. 
Strong ability and track record in initiating and managing programs.
